Terms of Service

About SortMyDocuments · Privacy Policy

These Terms govern use of SortMyDocuments (the “Service”), operated by Serhii Baliasnyi trading as AIMediaFlow (“we”, “us”). By creating an account or using the Service, you agree to these Terms.

1. The Service

SortMyDocuments extracts structured data from accounting documents, presents the results for review, and lets users publish approved records to SortMyBooks. The Service is in an early-access phase and may change as reliability, integrations and controls are improved.

2. Accounts

You must provide accurate account information and protect your credentials. You are responsible for activity performed through your account and must notify us promptly at sergey070373@gmail.com if you suspect unauthorised use.

3. Your content

You retain your rights in documents and extracted records. You grant us a limited, non-exclusive licence to process that content only as needed to provide the Service, including extraction, review, deduplication, publication to SortMyBooks, local retention and copying to the external storage provider you select.

You must have the right to process and store content you upload.

4. Third-party integrations

The Service integrates with SortMyBooks and may connect to Dropbox or Google Drive. You choose whether to connect an external provider and which provider, if any, is used for each SortMyBooks company.

No public Dropbox or Google Drive sharing link is created. External-provider availability, account restrictions and storage quotas are controlled by the provider. If an optional external copy fails, the Service records that outcome and retains the local safety copy; it must not claim that an external copy succeeded.

You may disconnect an external provider in Settings. Disconnecting removes the stored connection credential but does not delete files already present in your provider account.

5. Review and accounting responsibility

Automatic extraction can misread fields. You are responsible for reviewing records and supporting documents before publishing them and for deciding whether a document is appropriate for your books. Warnings assist review but do not constitute tax, legal or accounting advice.

6. Acceptable use

You agree not to upload content you have no right to process, use the Service for unlawful activity, attempt to disrupt or bypass its security controls, exceed communicated usage limits, or resell or rebrand it without permission.

7. Retention

Automatic deletion of local files after Push is not currently active, even if an archive-period preference is visible in Settings. Current retention and deletion practices, including external copies controlled by the user, are described in the Privacy Policy.

8. Fees

During early access the Service may be offered free of charge. We will provide notice before introducing or materially changing fees.

9. Availability and disclaimers

The Service is provided on an “as is” and “as available” basis to the extent permitted by law. We do not warrant uninterrupted or error-free operation or uninterrupted availability of third-party providers. Nothing in these Terms excludes rights or liabilities that cannot legally be excluded.

10. Limitation of liability

To the maximum extent permitted by law, our aggregate liability arising from use of the Service is limited to fees paid for the Service in the twelve months preceding the event, or fifty euro (€50), whichever is greater. We are not liable for indirect or consequential loss where such exclusion is permitted by law.

11. Termination

You may stop using the Service at any time. A routine account-deletion process is not currently available. We may suspend accounts that breach these Terms, abuse third-party services or present a security risk. Data retention and applicable statutory rights are described in the Privacy Policy.

12. Governing law

These Terms are governed by the laws of Ireland. Disputes are subject to the courts of Ireland without prejudice to mandatory consumer rights.

13. Changes and contact

We may update these Terms as the Service changes. Material changes will be communicated through the Service or another appropriate channel. Questions: sergey070373@gmail.com.
